Governance
- Ensure adherence and execution of the policies and procedures
- Ensure compliance to the risk management and quality management guidelines
- Participate and provide inputs in the periodic audit of the established policies and procedures to ensure compliance
Management Reporting
- Contribute to the development of the periodic reports, as requested
- Propose and recommend remedial activities to manage any quality or non-complianceissues that arise during the review of the section’s performance
Change Management
- Contribute to execution of the change management activities including all stakeholdercommunications as per the approved communication plan, as required
Technology Management
- Contribute to defining of the technology-related needs of the section,including SMARTservices and system, to drive automation within the direct line of work
Professional Development
- Proactively identify and seek professional development opportunities to improveleadership and technical skills pertaining to the direct line of work to improve
- Provide the necessary coordination and administrative support to ensure the effective management of the DGO.
- Collect, organize, and follow up on requests received to take the necessary actions in a timely manner.
- Read and screen incoming correspondence and reports; make preliminary assessment of the importance of materials and organize documents; handle some matters personally andforward appropriate materials to the management team.
- Draft, distribute and monitor incoming/outgoing correspondence as required and/or directed.
- Prepare all approved official letters on behalf of DG’s office for official external and internal communications, as required.
- Answer incoming calls to the DGO and transfer them to the concerned sector to ensure that inquiries, requests and questions are addressed in a timely manner and to verify that calls have been answered.
- Coordinate with external parties and sectors within MAAN regarding the reports and documents needed and following up on the implementation of joint work requirements.
- Maintain the records and documents of the DG and manage the archiving system.
- Manage the agenda, schedule, meetings, and private correspondence of the DirectorGeneral.
- Prepare agenda and collect materials for meetings, speeches, and conferences; take minutesand keep records of proceedings to support the DG in following up on key actions.
- Produce a variety of documents, charts, and graphs in final form.
- Implement the visitor management protocol for the DG.
- Welcome visitors arriving to the DGO in a respectful and appropriate manner while adhering the necessary protocols.
- Liaise with Ma’an sectors and other entities ensuring timely provision of support and guidance to the DG, where applicable
- Maintain and ensure effective management of all DG’s travel, expenses and logistical requirements
- Act as liaison between the DG, Ma’an employees or others, by transmitting directives, instructions and assignments and following up on the status of assignments.
- Plan and coordinate arrangements for professional conferences.
- Assume any other responsibilities/tasks assigned by the Director General
