o Provide assistance and support to the Office Director‘s office
o Provide support to the team and support in organizing daily activities and tasks relevant for the Office Director
o Maintain and ensure the safety of databases and files
o Attend key meetings attended by the Office Director and record minutes to support the Office Director in

o Liaise with Ma’an sectors and other entities ensuring timely provision of support and guidance to the
Office Director, where applicable
o Implement the visitor management protocol for the Office Director
o Monitor all correspondences received and sent from the Office Director‘s office
o Prepare all approved official letters on behalf of Office Director‘s office for official external and internal
communications spokespeople, as required
o Maintain and ensure effective management of all ED’s travel, expenses and logistical requirements
o Read and screen incoming correspondence and reports; make preliminary assessment of the
importance of materials and organize documents; handle some matters personally and forward
appropriate materials to the division directors and team
o Act as liaison between the Office Director, subordinates or others, by transmitting directives, instructions
and assignments and following up on the status of assignments
o Prepare agenda and collect materials for meetings, speeches, and conferences; take minutes and keep
records of proceedings
o Produce a variety of documents, charts, and graphs in final form
o Plan and coordinate arrangements for professional conferences
o Establish and maintain various filing and records management systems
o Perform other tasks related to the administration function as they arise and as delegated by the ED
Skills
University Degree in a relevant field or equivalent
Experience of at least 0-2 years in a relevant field, preferably in the social sector
